About the role 📝
The company is seeking an experienced Operations Specialist to act as the right hand to a busy CEO. This mid–senior level role requires someone who can wear many hats — from managing day-to-day operations and project timelines to supporting events, partnerships, and communications. The Operations Specialist will be the one who keeps everything running smoothly, ensuring the CEO can focus on driving growth while the details are expertly taken care of.

Manage inboxes with smart triage and clear communication.

Own calendar scheduling and coordinate internal and external meetings.

Book travel and accommodation with foresight and efficiency.

Take accurate meeting minutes and ensure follow-through on action points.

Maintain CRMs (e.g., Monday.com, HubSpot, Salesforce) with accuracy.

Organise and maintain shared drives and filing systems.

Compile and manage guest lists, RSVPs, and event reminders.

Support with post-event surveys, reporting, and webinar content organisation.

Handle member and partner onboarding, communications, and database updates.
-
Manage general queries with professionalism and track RSVPs for activations.
-
Create clean, engaging visuals in Canva or similar design tools.

Compile year-end partner performance reports and presentation materials.

Build and manage project trackers, timelines, and checklists.

Coordinate with stakeholders to gather inputs and updates across projects.

3-5 years of proven experience as an Operations Specialist, Chief of Staff, or Executive Assistant at mid–senior level

Strong organisational and project management skills.

Proficiency with tools such as:

CRMs (e.g., Monday.com, HubSpot, Salesforce)

Productivity suites (Google Workspace, MS Office, Slack, Zoom)

Canva (or similar) for simple design needs

Excellent reporting and presentation-building skills.

Bonus: Familiarity with advertising, media, or tech industries.

Meticulous attention to detail and ability to anticipate needs.

Strong communication skills, both written and verbal.

Discretion in handling sensitive information.

Ability to prioritise, stay resourceful, and perform under pressure.

Relationship-driven, collaborative, and solutions-focused approach.
